Information you give us

• Enquiries: your name, email address, subject and message when you use our contact form, and any details you choose to share by email or phone (for example your company, job title, telephone number and project requirements).
• Customers: contact and billing details, delivery addresses, order and invoice history, and details of the machines you own (such as model and serial number) so we can provide servicing, spares and technical support.
• Job applicants: your CV, covering letter and any other information you send us when applying for a role.

Information we collect automatically

• Website usage: if you agree to analytics cookies, we use Google Analytics to collect information such as the pages you visit, how long you stay, the device and browser you use and your approximate location (country or town). This helps us understand how our website is used and improve it. See section 9 for details.
• Technical information: our web server keeps standard logs (such as IP address, browser type and the time of your visit) to keep the website secure and working properly.

Where we rely on legitimate interests, we have considered your rights and are satisfied that our use of your information is proportionate. You can ask us for more information about this.

We do not currently send marketing newsletters. If we introduce them, we will only send them where the law allows and you will always be able to unsubscribe.

We do not sell your personal information, and we do not use it for automated decision-making.

• International dealers: if you contact us from a region covered by one of our authorised dealers, we may pass your enquiry to them so they can help you locally. Our dealers currently operate in France, the Netherlands, Germany, Belgium and the United States.
• Service providers who help us run our business, for example our website and email host (Krystal Hosting Ltd, which stores data in the UK), customer and business management system (Progress, supplied and supported by Barkley Myles Solutions Ltd) and Google (analytics). They may only use your information on our instructions.
• Professional advisers such as accountants, auditors, lawyers and insurers.
• Authorities where we are required to by law.

Some of the organisations we share information with are outside the UK, including dealers in the European Economic Area and the United States, and service providers such as Google. Where information is transferred outside the UK, we make sure appropriate safeguards are in place, such as UK "adequacy" regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.

• Enquiries that do not lead to an order: up to 2 years from our last contact.
• Customer records: for as long as you are a customer and then for 6 years, to meet our legal and tax obligations. Machine records may be kept for the working life of the machine so we can continue to provide spares and support.
• Job applications: up to 6 months after the recruitment process ends, unless you agree to us keeping them longer.
• Analytics data: 14 months (the retention period set in Google Analytics).

We use appropriate technical and organisational measures to protect your information from loss, misuse and unauthorised access. Access is limited to staff and service providers who need it.

You have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information;
• ask us to restrict how we use your information;
• object to us using your information where we rely on legitimate interests;
• ask us to transfer your information to another organisation (data portability);
• withdraw your consent at any time where we rely on consent (for example, analytics cookies).
